Oknola vs monday.com.
Pick monday.com if you want visual boards a team shares, with dashboards, automations and a CRM.
Pick Oknola if you work alone and want a company brain: plain markdown notes that Oknola types and files, at one price.
Where monday.com is better
Automations at real volume.
From Standard up, automations cover 250 to 25,000 actions a month, depending on the plan [2].
A CRM product of its own.
monday CRM offers quotes, invoices, email sequences and sales agents, with seats from $12 on annual billing at three seats [2].
Room for clients and helpers.
Guest access from Standard and unlimited free viewers let other people see the work [2].
Where Oknola differs
The structure keeps itself true.
Oknola lays down one structure and keeps it. The pass, the built-in AI tidy-up, types, links and files each capture, and asks you about any it cannot place. A wrong file is refused or fixed, whether you wrote it or an agent did.
Oknola's agents see only the tags you give them.
With the optional agent layer, the assistant you message hands each job to a sub-agent. That sub-agent sees only the files carrying its tags, and a locked note is invisible to every Oknola agent. Agents you run yourself read whatever their machine lets them.
One price for one operator.
The whole Core is $30 a month or $270 a year, never per seat, and apps such as CRM are optional add-ons, each priced before it opens.
Your notes stay files, with boards on top.
Views lay tables, boards and cards over plain markdown in the Open Knowledge Format, the open standard, saved as
.basefiles.Export any time, or keep the laptop folder.
If you stop paying, the app turns read-only and every note stays readable and exportable.
The trade-offs, plainly: Oknola is for one operator, with no guests, seats or shared workspaces. It has no plugin ecosystem, one fixed structure, a cloud copy as the source of truth, and a solo founder behind it.
Side by side
| Point | monday.com | Oknola |
|---|---|---|
| Built for | Teams in sales, marketing, operations and more. Customers over 10 users make up 82% of recurring revenue [1, 10]. | A solo operator running a business. One operator only: no guests, seats or shared workspaces. |
| Where your notes live | monday.com's cloud database, as boards and columns, not files. Encrypted at rest, not used for AI training [1, 6, 7]. | Oknola's cloud copy, encrypted at rest, never trained on. All note text on every device. Optional laptop folder. |
| Structure | Freeform boards from 200+ templates or AI generation. Reviewers report setup time and clutter [2, 6, 11]. | One fixed structure, the Indexed Brain, from first open. Oknola types and tags each note: enforced, not suggested. |
| Who does the filing | You design the boards and set the automations. Automations start at Standard, 250 actions a month [2]. | Oknola does. The pass types, links and files each capture. What it cannot place comes to you. |
| AI inside | Sidekick chat, agents and Vibe, an app builder. AI credits come with the tier: 1,000 monthly on Basic [2, 5, 6]. | The pass, the built-in AI tidy-up, in the plan. The agent layer is an optional add-on. |
| Outside AI (Claude Code, ChatGPT) | MCP server with 60+ tools for Claude, ChatGPT and Cursor. Calls count against a daily API limit [9]. | The laptop folder is plain markdown: Claude Code, Codex, Cursor or any agent that reads files opens it. On your own server, a headless mirror keeps the same files for your agent. |
| What an agent can reach | Sidekick works on your boards, docs and items. Agents run per task, at 10 to 250+ credits [5, 6]. | An Oknola agent: only the files carrying the tags you gave it, never a locked note. Your own agents read what their machine lets them. |
| Price for one person | Three-seat minimum: Basic is $27 a month billed annually ($9 per seat), or $36 billed monthly [2]. | $30 a month or $270 a year, one plan. One operator, never per seat. |
| Trial or free tier | A free trial of the AI Work Platform, then the Free plan, which it calls ideal for freelancers: 2 seats, 3 boards, 200 items, no automations, no AI [2, 3, 4]. | No free tier. 15 days free, no card, extends to 30 days, then 45. Read-only after, never deleted. |
| Leaving | No markdown export. Excel per board, an admin zip of the account, or the API [9, 12, 13]. | Export any time, or keep the laptop folder. Plain markdown opens anywhere. |

Use both
If clients or helpers work in your boards, keep monday.com for that shared work. Its guests, dashboards and automations are built for it. Keep Oknola as the brain for your notes, meetings and journals, which Oknola types and files. The two stay separate, with no sync between them. When a board result matters to the business, write it up as a note and the pass files it.
Moving from monday.com
Get your boards out. Export each board to Excel, or have an admin export the whole account as a zip. There is no markdown export [12, 13].
Check what the export leaves behind. Excel covers table views only and drops group-by, sorting and conditional colors. The account zip omits dashboards, archived boards and workdocs [12, 13].
Bring your notes in on day one. Markdown you keep elsewhere comes in as it is, nothing converted. The pass gives each note a type and files it, keeping every original word for word.
Keep boards and tasks as files. Boards, items and automations don't travel as notes. Keep the Excel files and the zip as files, and write up what matters as notes. Read What is a company brain for the idea behind the notes.
